Office Manager

As the Office Manager, you take ownership of the daily operation of the office. This includes various tasks from welcoming visitors, through organising events to keeping contact with our vendors.

We’re looking for someone who thrives in dynamic, fast-paced environments, where no two days are the same.

KEY ACTIVITIES

OFFICE MANAGEMENT:

  • Oversee daily office operations to ensure efficiency and organization.
  • Manage office supply inventory and maintain strong relationships with vendors and third parties (e.g., gardeners, cleaners, garbage collectors, inspections, etc.).
  • Monitor office processes, identify inefficiencies, and implement improvements independently.
  • Manage and keep track of budgets allocated to supplies, office and factory building, team building, third parties, etc.

TEAM COORDINATION & SUPPORT:

  • Develop strong relationships with employees and facilitate open communication to streamline operations.
  • Assist staff with various logistical tasks such as travel planning, shipping instructions, and problem resolution. This could be anything from not know how the printers work, to help arrange travel plans/permits, etc.
  • Ensure that policies, company values and guidelines are followed in a constructive and positive manner. For instance, the registration of personnel and visitors. Or people not cleaning their desks, garbage bins, etc. etc. Run a tight ship by being motivational and constructive.

HOSPITALITY & CUSTOMER SERVICE:

  • Welcome visitors, partners, and clients with a warm and professional demeanor.
  • Coordinate meeting room schedules, refreshments, and hospitality services.
  • Ensure we create an impression with our customers that fits our professional values

ADMINISTRATIVE OVERSIGHT:

  • Maintain accurate, up-to-date records of office inventory and supplies.
  • Assist with budgeting, purchasing, and vendor management. Including third parties suchs as garbage collection. Ensure that insights are given in budgets, whether they need to be increased in order to ensure a smooth and efficient processes, instead of cutting cost and having an impact on company processes or culture.

EVENT PLANNING & CULTURE BUILDING:

  • Organize/ help organize with HR and coordinate internal events (e.g., company lunches, team outings) that strengthen team cohesion and company culture.

EXPERIENCE & SKILLS:

  • Proven experience as an Office Manager, Executive Assistant, or similar role in a fast-paced environment.
  • Strong organizational and multitasking skills, with an eye for detail.
  • Exceptional interpersonal skills with a proven ability to foster a positive and collaborative work culture.
  • Proficiency in office software and digital products (e.g., Microsoft Office, Google Workspace).
  • Resourcefulness and the ability to handle unexpected challenges calmly.
  • A positive attitude and strong communication skills in Dutch and English.
  • Ability to detect inefficiencies and not working processes.
  • Action orientated.
